Tone of voice is how your brand sounds in writing and speech. It is the difference between a message that feels warm and human and one that feels like it came from a machine. A clear tone of voice helps everyone who writes for you, from marketers to customer service staff, sound like the same organisation.
Start from your personality
Your tone should grow out of who you are, not who you wish to be. Look at your values and positioning, then choose three or four traits that describe how you want to come across. Words such as “direct”, “warm”, “curious” or “calm” work well. Avoid vague terms such as “professional”, which could describe almost anyone.
Explain each trait clearly
A single adjective is open to interpretation. For each trait, write a short explanation and a line on what it does not mean. For example, “direct” might mean getting to the point and using short sentences, but not being blunt or dismissive. These boundaries are often more useful than the traits themselves.
Show, don’t just tell
Writers learn tone best from examples. Include before-and-after rewrites of real content, such as:
- An email confirming an order
- An error message on your website
- A social media reply to a complaint
- A product description
- The opening paragraph of a proposal
Seeing the same message written two ways makes the guidance concrete.
Allow for flexibility
Your voice should stay consistent, but your tone can shift with the situation. You might be playful in a launch announcement and more careful when handling a complaint or delivering bad news. Describe how the tone adapts in a few common scenarios so people feel confident adjusting it.
Keep it alive
Tone of voice guidance works best when it is short, practical and easy to find. Run a short session to introduce it, share good examples regularly, and update the document as you learn what works. Encourage people to ask for feedback rather than guessing.
A defined tone of voice makes writing faster and your brand more recognisable. If you would like help finding and describing yours, the Northpeak team would love to hear from you.
